01Controller

02Purposes and legal bases
- Enquiries and pre-contract steps — GDPR Art. 6(1)(b).
- Performance of a service or contract — Art. 6(1)(b).
- Legal and accounting obligations — Art. 6(1)(c).
- Security, diagnostics, abuse prevention and legal claims — Art. 6(1)(f).
- Non-essential analytics — only with consent where required.
03What data
- Depending on the function: contact data, company name, enquiry content, project information, data entered into tools, analysed website addresses, uploaded files, results, technical logs, IP addresses and session identifiers. The scope is limited to what a given purpose needs.
04VSA assistant, audit and tools
- VSA processes the conversation content in order to reply. Do not share sensitive data or trade secrets in the chat.
- The free website audit processes the website address and analysis parameters. Basic results require no account.
- VSA, the tools and Concept may analyse information automatically and generate a reply or report, but they do not independently make decisions with legal effects.
05Recipients and transfers
- Data may be disclosed, only where necessary, to hosting and infrastructure, e-mail, analytics, external AI or computing-service providers, and entities authorised by law.
- If a function uses a provider outside the EEA, an appropriate legal transfer mechanism and safeguards are applied.
06Retention
- Enquiries without a project — up to 12 months from the last contact.
- Standard web and technical logs — 30 days.
- Temporary Knowledge Scan / VSA memory — 2 hours where applicable.
- Temporary generator and audit files — up to 24 hours.
- Contract and accounting records — for the period required by law or needed for legal claims.
07Your rights
- Access, rectification, erasure, restriction, portability, and objection to processing based on legitimate interests.
- You may withdraw consent at any time without affecting prior lawful processing.
- You may lodge a complaint with the President of the Polish Personal Data Protection Office (UODO).
08Voluntary provision
- Providing data is voluntary. If it is needed to answer an enquiry or run a selected function, not providing it may make that impossible.
